How to Turn a Brain Sweep Into a System That Actually Works (Build Your Foundation Step by Step)
I don’t know if you remember the last thing we talked about, but it was creating zones in your home.
And today, I want to take that one step further.
Because writing things down is not the system.
👉 The system is what you do next.
Why This Matters More Than You Think
Most of us walk around with the same things in our head all day:
- things we need to do
- things we don’t want to forget
- things we feel like we should already have handled
That’s what I call open loops.
They sit there… taking up space.
And even when you write them down, if they don’t go anywhere after that?
👉 They just become another list you ignore.
The goal here is not to make a better list.
The goal is to:
👉 get everything out of your head and into a system that holds it for you
Start With a Brain Sweep (Nothing Fancy)
This part stays simple.
Take a piece of paper and write everything down.
No organizing. No categories. No trying to be neat.
Just get it out.
Your list might look like mine:
- Costco membership expiring
- Laundry
- Dishwasher
- Etsy tasks
- Organizing the pantry
- Need butter
It doesn’t matter.
This is not the system.
This is just the starting point.
The Shift: Nothing Gets Done Yet
This is where things change.
You are not looking at your list asking:
👉 “What should I do first?”
You are asking:
👉 “Where does this belong?”
Because if it doesn’t belong anywhere…
It will keep coming back into your head.
How to Decide Where Things Go
This is the part that is usually missing.
Your routines and lists do not magically appear.
👉 You build them from what shows up on your brain sweep.
Here are the simple rules I use:
- If it has a date → it goes in your planner
- If it repeats → it becomes a routine
- If it needs to happen today → daily to-do list
- If it’s something you track → a list (like groceries)
- If it has multiple steps → it’s a project
- If it belongs to your home → it goes in a zone
- If it’s occasional → monthly focus
That’s it.
You don’t need anything more complicated than that.
What This Looks Like in Real Life
Let’s take a few examples.
📅 Planner (Date-Specific)
My Costco membership expires on the 20th.
That goes in the planner.
Now I don’t have to think about it again.
🔁 Routines (Built Over Time)
I realized I was constantly checking:
- Etsy sales
- YouTube comments
So instead of writing it over and over…
👉 It became part of my morning routine
Same thing with:
- laundry
- dishwasher
- bedroom reset
These didn’t come from nowhere.
They came from things that kept showing up on my list.
📝 Daily To-Do (Only What Matters Today)
Some things are just for today.
Like:
- take pork out to thaw
That does not need to live anywhere else.
Just today.
🛒 Lists (So You Don’t Forget)
Need butter?
That goes on the grocery list.
Not your brain. Not your daily list.
Just one place.
🧩 Projects (Not Everything Is a Task)
Organizing the pantry is not a quick task.
It has steps.
It might take more than one day.
So instead of letting it sit on your list…
👉 You treat it like a project
🏠 Zones (Your Home Has Structure Too)
Cleaning the washer and dryer belongs to my laundry zone.
So I don’t need to think about it until that zone comes up.
📆 Monthly Focus (The Things You Want to Get To)
Some things don’t need to be done right now.
Like:
- windows and window sills
- organizing computer files
Those go into a monthly focus.
So they’re not forgotten…
but they’re not in your face every day either.
This Is How Routines Are Created
I want to say this clearly.
👉 Routines are not something you sit down and create out of thin air.
They are built from repetition.
If something keeps showing up on your brain sweep…
That’s your signal.
That’s where your routine comes from.
Your System Will Not Look Like Mine
And it shouldn’t.
The examples I’m sharing here are mine.
They fit my life right now.
👉 Yours may look completely different.
You may not need:
- an afternoon routine
- a monthly focus
- multiple zones
That’s okay.
This is not about copying a system.
This is about:
👉 building your foundation
If This Feels Like Too Much
Start smaller.
You only need three places to begin:
- Routine
- Today
- Later
That’s enough to get things moving.
Everything else can come later.
The Part That Changes Everything
Once something is assigned…
👉 You cross it off your brain sweep
Even if it’s not done.
Because now it has a place.
And your brain doesn’t have to hold it anymore.
Your Lists Are Always Drafts
Your life will change.
Your routines will change.
Your responsibilities will change.
So don’t treat your system like it has to be perfect.
👉 It just has to work for you right now
